Summary

Key findings

Key findings2 1. List prices3 2. Annual discounts3 3. Viewer policies4 4. Case study: Northwind's 2027 plans5 5. Outlook for 20275 Methodology5
  1. The median main-tier price is $18 a seat per month, up from $17 in 2025 and $16 in 2024. Prices range from $10 (Plover) to $25 (Rookhaven). The median top tier is $32.50.
  2. Annual discounts are thinning. 15 of the 18 tools offer a discount for annual billing, against 17 of 18 in 2024. Northwind's decision to end its 15% discount will make it 14 in 2027. Among tools that still offer one, the median discount is 15%.
  3. Viewer policy is where pricing is moving. Nine tools give unlimited free viewers today. After Northwind caps free viewers at five per workspace on January 1, 2027, that falls to eight, and four tools will cap free viewers by workspace.
  4. Cheap entry tiers are shrinking. Eight tools have a free plan and six have a paid entry tier under $10 a seat. Northwind's Starter closes to new workspaces in January, which leaves five.
  5. Northwind moves from the middle of the range to near the top. At $24 a seat, its Pro plan will be the second most expensive main tier in our sample, behind Rookhaven at $25. For annual customers the per-seat increase at renewal is 49%.

Who this report is for

Buyers renewing team software in the next twelve months, and vendors setting 2027 prices. The public edition covers list prices only. Negotiated discounts, which our subscriber edition tracks through 212 anonymized contracts, are usually larger for annual deals above 100 seats.

How to read the tables

All prices are in USD per seat per month, billed monthly, before tax, as published on vendor websites on September 30, 2026. "Main tier" is the plan each vendor marks as recommended or most popular. Changes announced for January 1, 2027 are shown where vendors have published them.

Calder & Voss Research is an independent research firm. Vendors do not pay for inclusion in this report and did not review it before publication.

1List prices

Table 1 lists the entry, main and top tiers for each tool. The spread is wide at the top, where single sign-on and admin controls drive the price, and narrow in the middle: 11 of the 18 main tiers sit between $15 and $21.

2Annual discounts

Annual discounts were close to universal two years ago. Three vendors have dropped them since, and a fourth has never offered one. Vendors that dropped the discount describe annual billing as a price lock and a single invoice rather than a saving.

3Viewer policies

Most team tools let people read without a paid seat. How many such people, and what they can do, varies more than any other part of the price list. We group the 18 tools into four models: unlimited free viewers, a fixed number of free viewers per workspace, free viewers in proportion to paid seats, and paid viewer seats.

What changes in 2027

One tool changes model. Northwind moves from unlimited free viewers to five free viewers per workspace on January 1, 2027. Existing viewers above the cap stay active until each customer's first renewal in 2027, or March 31, 2027 on monthly plans.

Half of the tools let viewers comment. Commenting is the feature buyers mention most when they compare viewer policies, because it lets a client respond without a seat.

4Case study: Northwind's 2027 plans

Northwind announced its 2027 plans on September 10, its first price change since March 2023. Four changes take effect on January 1, 2027: Pro rises from $19 to $24 a seat, the 15% annual discount ends, Starter closes to new workspaces, and free viewers are capped at five per workspace. Team stays at $39 and now includes single sign-on, which was a $4-a-seat add-on. Existing annual customers keep their current price until renewal, and Northwind says migration tools will arrive in Q1 2027.

Table 4. Northwind price per seat, per month, before and after January 1, 2027

Plan2026 monthly2026 annual2027, any billingChange for annual customers
Starter (existing workspaces)$9.00$7.65$9.00+18%
Pro$19.00$16.15$24.00+49%
Team with SSO$43.00$37.15$39.00+5%

Team with SSO in 2026 is $39 plus the $4 add-on, which was not discounted for annual billing.

Why the viewer cap matters more than the seat price for some customers

Northwind reports that its median workspace has three viewers and 91% of workspaces have five or fewer. For those customers the change is the seat price alone. For customers with many outside readers it is larger: an agency with 25 members and 15 client viewers on annual Pro pays $403.75 a month today and $840.00 after renewal, since ten viewers above the cap need seats. On Larkspur, which keeps unlimited free viewers, the same agency would pay $475.00 a month billed annually.

5Outlook for 2027

More caps, set higher than Northwind's. We expect at least one more vendor to move from unlimited to capped free viewers in 2027. Caps of ten or more are likelier than five, given the response to Northwind's.

Discounted read-only seats. Paid viewer seats between $5 and $8 are common among tools that charge for viewers. A vendor with a low cap could add one to soften it for agencies.

Annual discounts keep thinning. We expect the share of tools offering an annual discount to fall to 14 of 18 in 2027, and possibly 13 by the end of the year.

Buyers will count viewers before they count seats. For any renewal in 2027, the number of read-only users and what they need to do is now a pricing question, and should be answered before negotiation starts.

Methodology

Prices were collected from public vendor websites between September 22 and September 30, 2026, and checked against announcements published up to October 2, 2026. The 18 tools are the team collaboration products most often named in our 2026 buyer survey (n = 1,140). "Main tier" is the plan each vendor labels as recommended or most popular; where none is labeled, the middle paid tier. Viewer policies come from pricing pages and help documentation. Figures are list prices; they exclude negotiated discounts, taxes and add-ons unless stated.
